Our season runs from September to May. If you choose to host your event in our indoor space, you won’t need a rain (or snow!) plan.

Date Exclusivity

While many venues have multiple events going on on the same day, at Planterra, yours is the only event we host on your date. Your event setup is carefully attended to and each detail is meticulously checked over by our creative director.

The Planterra planning process

Below is a list of the appointments that clients have with us during the planning process. It should also be noted that our planning and design team is available to the clients throughout the planning process and guide them every step of the way. We are frequently in touch via phone and email during the entire planning process.

Initial Planning and Design Appointment

This appointment is scheduled typically about 5-6 months out from the wedding. The clients meet at the Conservatory to discuss all elements of the wedding (floral, design, menu, timeline, and layout). This is a collaborative meeting and we encourage clients to bring with them their inspirational ideas and images. We discuss their vision and begin the process of bringing that vision to life.

Following the meeting, we prepare two planning documents for the client, The Event Summary and the Floral Summary. These documents use words, images, and graphics to capture all elements of the wedding. We consider these to be living and breathing documents that we will revise and flush out throughout the planning process. Throughout the process, the Summaries are updated and shared back and forth between us and the client.

Menu Tasting

Twice a year we host Group Tastings to give our clients the opportunity to taste a wide selection our hors d’oeuvres, salads, entrees and desserts and experience our catering service first hand. Our team and our chefs are on hand to answer menu questions. Each Tasting hosts about 70 guests. We also design each like a small wedding with custom florals, linens, chairs and place settings to act as inspiration for our clients.

Floral and Rental Sample Appointment

This appointment is typically about 2-3 months before the wedding. The client comes to the Conservatory to see mock-ups of their floral and table design. We create their centerpieces for them to see in person and all the rental options are there for them to see as well. Rental options include chairs, linens, napkins, chargers, place settings and glassware. This appointment allows couples to see their designs and play with the rental options to perfect their tablescapes before confirming their selections. Again this is an exciting and collaborative appointment.

Final Details Appointments/Calls

In the last 40 days before the wedding we have are in touch regularly with the clients to confirm final selections and review every detail of the wedding to ensure a smooth event. This is done through a combination of phone calls and in-person meetings to best meet the clients’ needs during this very busy time.
